Proofing instructions email
A client who has not used a review link may not know where to click, how to comment or how to approve. This email explains the three actions in plain language, on a phone.
When to use it
Send with the first review link, or when a client asks how to use the review.
Subject
How to review {{project_name}}
Body
Hi {{first_name}},
The review link opens the artwork in your browser. You do not need an account or an app.
Open the review: {{review_link}}
To comment, tap the comment tool and then tap the spot on the artwork. Type your note and send it. You can draw a box or freehand mark if that is easier.
When you are ready, use the Approve button or choose Request changes. If you need to stop, close the page and open the link again later.
If you get stuck, reply to this email and we will walk through it.
Thank you, {{sender_name}} {{studio_name}}
Before you send
- Say that no account is needed.

- Keep it short enough to read on a phone.
Questions
Do clients need an account to review a proof?
No. The client opens the link and comments or approves. A review tool may ask for a name and email at the decision, but not at the door.
Can the client use a phone?
Yes. The review should work in a mobile browser, with tap-to-comment and a clear approval control.
What if the client cannot see the comments?
Check that the client is on the latest version and that the comments are shared with the client, not marked internal.
