Client review & approval for design studios

From first draft to truly final.

Send a proof. Your client marks it up right on the page — no account needed. Upload the next version, compare it, chase whoever hasn’t replied, and lock in the file they approved.

Every studio has this folder.

The four questions

Every studio asks the same four questions on every project. TrulyFinal answers them for every file, every round.

  1. 01

Where exactly did the client mean?

Comments are pinned to the spot — a point, a box or a sketch on the artwork.

  2. 02

    Was that comment actually handled?

Every comment is open or resolved, and last round’s leftovers follow you to the next version.

  3. 03

    Who still hasn’t signed off?

Each reviewer’s decision is visible at a glance, and reminders go only to them.

  4. 04

    Which version did they approve?

Approvals are recorded against one exact file, with who, when and a fingerprint.

How it works

One loop, from proof to signed off.

Step 1 of 5

Share one link, or invite by email.

Drop in PDFs or images — a whole brochure at once. Each file gets its own version history. Send a single link to the client, or invite people by email so they open it straight from their inbox.

Made for brochures, packaging and brand systems.

Multi-page PDFs

Every page, every comment, in order.

Brochures and catalogues open as a page strip with comment counts per page, so nothing on page 14 gets missed.

Colour-true previews

CMYK and large TIFFs, ready to review.

Print files are converted for screen preview while the original stays untouched and downloadable.

Zoom to the type

Pin a comment to a single word.

Zoom right into small print, legal lines and barcodes. Comments stay anchored to the exact spot at any zoom.

Two lanes, one file

Internal notes stay internal.

Every file has what the client sees, and what your team says about it. Team comments default to internal, so a quick “ugh, again?” never lands in a client’s inbox. Check before you send with Preview as client.

Showing everything your team can see.Showing exactly what Lumen Skincare sees — nothing internal is ever sent to them.

Three clients. One glance.

Everything is organised client → project → file, so your home screen shows where each client is stuck — and what you can ship today.

Approval record

“That’s not the version we approved.” Yes, it is.

Every approval is recorded against one exact file: who approved it, when, which version, a fingerprint of the file itself and anything still open at that moment. Withdrawn approvals are logged too — nothing is overwritten. Print it, or attach it to the invoice.

A business record of the sign-off, not an e-signature product.

Then deliver the file they approved.

A branded delivery page lists approved versions only. If an approval is withdrawn, the link closes with it.

Questions, answered.

Do my clients need an account?

No. They open the link and start commenting. We ask for a name and email the first time they post or decide — never a password.

What files can I send?

PDFs and images (JPG, PNG, TIFF, WebP) at launch, including multi-page brochures and large CMYK files. Office, Illustrator, Photoshop and InDesign files are next.

Do I have to move my projects over?

No. Keep your design and project tools exactly as they are, and send your next proof through TrulyFinal. There’s nothing to migrate.

How do you stop internal comments reaching clients?

Team comments are internal by default, and while a file is still a draft every comment stays internal. Internal comments are never sent to a client’s browser, and Preview as client shows you exactly what they’ll see.

Is an approval legally binding?

It’s a business record of who approved which version and when, with a fingerprint of the exact file. It isn’t an e-signature product, and we don’t make legal or regulatory claims.

What about video or websites?

Not yet. We’re putting everything into print and static design first, because that’s where most studio approvals happen.

Where is my data stored?

Files are encrypted in transit and at rest. Hosting regions and our data processing agreement will be published before launch.
