Design approval request email

An approval request is not another review. It should say that the comments are resolved, name the version and ask for a yes or a list of remaining items. The client should not have to reopen the whole design.

When to use it

Send when the current round is complete and the studio is ready to move to production or delivery.

Thank you, {{sender_name}} {{studio_name}}

Before you send

  • Say clearly that this is an approval, not another comment round.
  • List any open items instead of hiding them.
  • Name what happens after approval.
  • Keep the approval link separate from the general project link if the tool allows it.

Questions

What should the approval email include?

The project, the version, the resolved comments, any open items, the decision needed and the date. Add what happens after approval.

Can the client approve by email?

The client can, but the studio should record the approval against the version. An email that does not name the version is weaker evidence.

What if the client wants one more change?

Open a new round, make the change and send a new approval request. Do not treat a change request as an approval.
