Design feedback reminder email
A review stalls because one person has not looked, not because everyone is late. This email names the missing decision, the deadline and the help available.
When to use it
Send halfway through the review window and again on the due date, only to reviewers who have not responded.
Subject
Still need your review on {{project_name}} {{version}}
Body
Hi {{first_name}},
We are still waiting for your review on {{project_name}} {{version}}. The decision we need is {{decision_question}}.
Open the review: {{review_link}}
The review closes {{due_date}}. If you cannot make that date, tell us now so we can move the next version or find another reviewer.
If something is blocking you, reply to this email and we will help.
Thank you, {{sender_name}} {{studio_name}}
Before you send
- Send only to the people who have not responded.
- Name the missing decision, not the whole project.
- Offer a new date or a different reviewer.
- Keep the tone helpful; the client is doing the studio a favor.
Questions
How many reminders should a client get?
Two are usually enough: one halfway and one on the due date. More messages without a new decision do not help.
Should I remind the whole client team?
No. Remind the person who has not responded and copy the decision maker only if the delay is blocking the project.
What if the reviewer is on vacation?
Ask for a delegate or move the date. A review that waits for one person without a plan becomes a missed launch.
