Guide
How to choose proofing software
Proofing software is easy to compare on a feature list and hard to compare on the work a studio actually does. Start with the client experience, test the version compare and check what the approval record contains. The rest is secondary.
Test the client experience first
Send yourself a review link on a phone and try to comment without creating an account. If you have to explain the interface to a client, the tool is adding friction to your studio's most visible moment.
Check the notification default. A client who receives an email for every comment will ask you to stop the emails, and the review will move back to email.
Test the version compare
Upload a second version and compare it with the first. Check the side-by-side and the overlay, and see whether the last round's open comments are visible next to the new version.
A compare view that only shows the images is not enough. The studio needs to know which comments were addressed and which are still open.
Check the approval record
Approve a version and look at the record. Does it show the approver, the date, the version and the file fingerprint? Does it list the comments that were open? Can the client receive it without a login?
If the record is an Enterprise feature, the studio is buying a lower tier without the thing that protects it in a dispute.
Price the whole studio
Compare the plan at the real seat count, storage and review volume. A low entry price with a per-user add-on can cost more than a higher tier with the seats included.
Ask what happens when a client wants a custom domain, a second brand or a white-label review page. Those are the features a growing studio needs, and they are often held for the top tier.
Questions
What is the most important feature in proofing software?
The client experience. If the client cannot open the link and comment without help, the studio will spend its time on support instead of design.
Do we need video review?
Only if the studio reviews video. A print and brand studio should prioritize PDF rendering, version compare and the approval record.
How much should proofing software cost?
The market entry price is around US$200 a month for a 10-person team. A studio should compare the full workflow, including the seats, storage and the approval record.
